Event Management is open Monday through Friday from 8:30 a.m. to 5:00 p.m. Our administrative offices are closed on Boston College holidays and closedown dates. Please check with your Event Coordinator regarding the availability of services on these dates.
Classrooms and auditorium holds are released roughly eight weeks before classes begin, and classrooms come as is. Unfortunately, there is no waitlist and events cannot be scheduled in classrooms until after the holds are released.
If you're planning an event with alcohol, please review the Boston College policy on alcohol use and contact Event Management. Alcohol requests should be made in writing by emailing Event Management at least six weeks prior to your event.
Event cancellations must be made in writing by emailing Event Management as soon as possible. For room cancellations within 10 business days prior to the event, a cancellation fee equal to 100 percent of the room rental cost will be due. For catering cancellations within three business days prior to the event, a cancellation fee equal to 100 percent of the estimated charges will be due.
Room charges may apply to some spaces on campus; please consult with your event coordinator to find out if they apply to you.
Internal organizations should pay by chartstring. External clients may pay by check or credit card. Please contact your event coordinator for more information.
In addition to a 15 percent event administration fee for internal events and a 20 percent event administration fee for external events, all services are subject to the 7 percent Massachusetts Meals Tax (6.25 percent state tax and 0.75 percent local tax) where applicable.
When Boston College is closed due to emergency events or weather, all booked events will follow suit for the duration of the closure. Questions and concerns may be routed to the Director of Event Management.
Most spaces on campus require a gap time between events in order to allow for turnaround time between reservations. Lead time describes the time gap before an event, whereas hang time describes the time gap after an event. Classrooms and auditoriums usually require at least 15 minutes of lead/hang time, conference rooms require on average 30 minutes, and function rooms often require two hours or more. Smoking is prohibited in all Boston College buildings and vehicles. This prohibition applies to all indoor air spaces, including private faculty and administrative offices, all areas of residence halls, and dining facilities. Smoking is also prohibited outdoors within 20 feet of a residence hall. To implement and enforce this policy, common courtesy and consideration toward others should be exercised.
Smoking is permitted only in open areas outside buildings if the area is not identified as a hazardous area and is not within 20 feet of a residence hall.
All animals and/or pets are prohibited in all indoor spaces on campus, with the exception of service animals assisting those with disabilities.
Some events require a certificate of insurance prior to your event. Should this be the case, your event coordinator will alert you.
