COVID-19 Guidelines and Recommendations for
Meetings and Gatherings on Campus

We are committed to providing a safe environment to all of our guests during the uncertainty that COVID-19 is causing all around us. With that in mind, events booked through December 31, 2020 are considered “tentative” and subject to change in order to adhere to health and safety protocols from government and university officials as well as space restrictions on campus. We will do our best to keep you informed so that you can manage your upcoming event with as little stress as possible.

Current Massachusetts guidelines state that indoor gatherings will be limited to eight people per 1,000 square feet but should not include more than 25 people. Gatherings in enclosed outdoor spaces are limited to 25 percent or 100 people. 

Outside of in-person class sessions, meetings that can be held virtually should continue to be held virtually and large gatherings should be avoided. What to expect while planning your event:

  • In person gathering size should not exceed the maximum limits following the current gathering guidelines from the state of Massachusetts.   

  • Meeting spaces may be re-configured to allow for appropriate distancing and occupancy limits.

  • All in-person meeting/gathering organizers will be required to maintain a roster of all individuals attending the event, including potential walk-in attendees.

  • Signage in function spaces will remind guests to maintain physical distancing and adhere to good hygiene practices.

Event guidelines:

All event participants are required to follow personal prevention practices:

  • Wear a face mask/covering
  • Stay home when sick
  • Maintain 6 feet of physical distance


All guests are encouraged to frequently wash hands with soap and water or use the provided hand sanitizing stations outside of the function space.

All employees, vendors and guests must wear face coverings (over the nose and mouth) during meetings or events as required by the state of Massachusetts. Keep in mind that masks and face coverings are not a substitute for physical distancing.  

Post-event, all decorations, learning, and event materials must be cleared from the function space as rooms may serve multiple purposes and be used frequently throughout the day and evening.

Where possible, avoid in-person registration and encourage assigned seating in advance of the event.

 

Guidelines for event organizers:

  • The meeting/gathering organizer should maintain a roster of all individuals attending the event, including potential walk-in attendees. Roster should be provided to Event Management no later than 5 days prior to the event.  

  • The meeting organizer should email participants in advance with event guidelines provided by Event Management.
