Using Pharos Remote Software as a Proctor

Logging in to Pharos Remote software

  1. Open Pharos Remote software: Start > All Programs > Pharos > Pharos Remote
  2. When prompted, enter your BC username and password.
    The Pharos Remote software opens (see Figure 1).

Viewing and releasing print jobs

The Printing section in Pharos Remote contains all the print queues (called "Pharos Stations" by the software) (see Figure 2). Selecting a print queue displays all jobs awaiting release from that print queue.

 Viewing a print job

  1. Expand the Printing section by clicking the +.
  2. Select a print queue to see all the current print jobs.
  3. Select a job from the list in the top half of the display. The job's properties (including its cost) are displayed in the lower half.
    Note: The display does not update dynamically. If the job you are looking for is not in the list, press <F5> or select Refresh from the View menu to refresh the display until it appears.

 Printing a job

  1. Expand the Printing section by clicking the +.
  2. Select a print queue to see all the current print jobs.
  3. Select a job and click the Print Job button:Print job button
    - OR -
    From the Jobs menu, select Print Job.
    The job is printed, and its owner is charged.

 Deleting a job

  1. Expand the Printing section by clicking the +.
  2. Select a print queue to see all the current print jobs.
  3. Select a job and click the Delete Job button:Delete job button
    - OR -
    From the Jobs menu, select Delete Job.

Managing print queues

The Print Servers section is available to users with Proctor or higher access level. All printers and Spool Queues in the system are available, organized by Print Server (see Figure 3).

Selecting a parent displays details of those components underneath it (e.g. selecting the Printers section under a Print Server lists all printers controlled by the parent Print Server). Selecting an individual printer or Spool Queue lists all jobs waiting in that device's queue.

Note: The display does not update dynamically. If the job you are looking for is not in the list, press <F5> or select Refresh from the View menu to refresh the display until it appears.

All jobs remain listed after printing with status "Printed" for a length of time specified by the Reprint Holding Period for the printer they were printed on. This allows them to be reprinted before the end of this period, with no charge to the owner. This can be useful if the job did not print properly the first time due to a printer error (e.g. paper jam), but the user was still charged for it.

 

Moving a print job

  1. Expand the Print Servers section by clicking the +.
  2. Select a print queue to see all the current print jobs.
  3. Select a print job and drag it onto the desired print queue in the Tree on the left.
    Note: Jobs can be moved between printers and queues on the same server, or to another server.

 

Deleting a print job

To delete a job:

  1. Expand the Print Servers section by clicking the +.
  2. Select a print queue to see all the current print jobs.
  3. Select a job and click the Delete Job button:Delete job button

    From the Jobs menu, select Delete Job.

 

Reprinting a print job

To reprint a job (Printers only):

  1. Expand the Print Servers section by clicking the +.
  2. Select a print queue to see all the current print jobs.
  3. Select a job and click the Reprint Job button:Reprint job button
    - OR -
    From the Jobs menu, select Reprint Job.

Notes:

  • Reprinting a job does not reset the Reprint Holding Period for that job. This period is always calculated from the time the job was first sent to the printer.
  • Although the user is not charged for reprinting, and no transaction is logged, an Auditing alert is still generated by the reprinting action, allowing the reprint to be traced. For a report on all reprinting that has been done, filter an Alerts Report by the Error Code 29059.

 Purging all jobs in a queue

To purge all jobs in a queue:

  1. Expand the Print Servers section by clicking the +.
  2. Select a Printer or a Spool Queue and click the Purge All Jobs button:Purge all jobs button
    - OR -
    From the Jobs menu, select Purge Queue.
  3. On the confirmation dialog, click Yes to delete all jobs in the selected queue.

 Releasing a print job (for no charge)

Releasing a print job for no charge cannot be done with the Pharos Remote software. It is done using the Print Release station. See Print Release station documentation to learn how to do this.

Handling "User Not Found" Errors

If a user says they got a "User Not Found" error when they tried to print, do the following:

  1. Ask the person for their BC username.
  2. Log in to the Pharos Remote software.
  3. In the left hand menu, click Users.
  4. On the top right-hand frame, enter their BC username and click the button next to the textbox (it looks like a Y).
  5. If the user's data appears, then the user is defined in the Pharos system. This situation usually happens when a student has just gotten their BC ID (within the last 24 hours). Speak to your manager about how to handle this.
  6. If the user's data does not appear, then the user is not in the Pharos system. Send the student to Student Services
