The following procedure should be used to secure the use of the Robsham Theater:
□ Contact the Director of the Robsham Theater
The person or department wishing to reserve the Robsham Theater should contact the Director of the Robsham BEFORE contracts are signed or commitments made to sponsor and/or host an event at the Robsham. The Director is in a position to advise and recommend dates and times that the Robsham is available that will ensure the success of the proposed event.
□ Plan the event as early as possible
The person or department wishing to reserve the Robsham should begin the planning process as early as possible. Often the events in the Robsham are scheduled more than a year in advance. While short notice events are not impossible, it usually involves rescheduling rehearsals or classes already booked in the space. While every effort will be made to accommodate short notice events, circumstances may make using the theater impossible if current plans include production elements that would conflict with the event.
□ Students
Students wishing to request the Robsham Theater must consult the Office of the Dean for Student Development and follow all regulations and procedures for booking space at Boston College.
□ Faculty, staff, academic departments, and all administrative departments
Faculty, staff, academic departments, and all administrative departments within Boston College should contact the Director of the Robsham Theater directly to secure the use of the theater. The Director will advise and facilitate the use of the Robsham Theater by all parties seeking to use the facility.
□ When the facility has been scheduled, contact the Associate Director of the Robsham Theater
When the facility has been scheduled for an event, the Associate Director of the Robsham Theater, Sheppard Barnett, will arrange for the details of the event. Parties should contact the Associate Director as soon as possible.
□ Cost
It should also be noted that occasionally an event may impose a financial hardship on the budget of the Robsham Theater. The Director will make this hardship clear to the individual or department requesting the space for an event and propose an equitable arrangement for covering the cost. It most likely will include that the sponsoring organization assume all or part of the financial burden of the event.
It is important to note that the Robsham Theater Arts Center is a heavily used facility for performance events, and that, if a request conflicts with one of the performance events, the facility may not be available. While all requests to use the facility are given serious consideration, it should also be noted that dates that fall within three weeks of a scheduled performance of a play produced by the Theatre Department and the Robsham Theater present significant logistical difficulties. The policy for use of the Robsham Theater Arts Center adheres to the following guidelines; first priority, requests by the University President’s Office; second, the academic needs of the Theatre Department; third, Robsham Theater Arts Center/Theatre Department productions.
