Residential Life Assistant

Basic Function and Responsibility

Provide primary support for the Associate Director and three Assistant Directors of Residential Life as well as secondary support for the Graduate Housing Property Manager. Prepare letters, memos, and reports; schedule appointments; answer inquiries; make referrals; answer telephones; and maintain and update various lists. Provide support for Fiscal Coordinator. Process reimbursements, budget transfers, and deposits. Keep financial records for programming budget.

Primary Areas of Responsibility

  • Process transactions on PeopleSoft system for programming and Residence Hall Association
  • Process deposits into programming accounts
  • Manage database to track and report programming expenses
  • Keep records of purchases on P-Cards for Programming Accounts
  • Assist Fiscal Coordinator in budget management and internal transfers
  • Act as a liaison to the Resident Assistants (RAs)/Staff Assistants (SAs) with the Associate Director
  • Maintain RA database and administrate RA web site
  • Manage lounge reservations in residence halls for students, faculty, and staff programs
  • Distribute flyers and program advertisements to Resident Directors (RDs) and RAs via paper and/or email
  • Assist with design and production of publicity and external publications
  • Maintain all RA Files
  • Maintain internal publications and forms used by staff
  • Communicate with Student Services and other offices regarding RA compensation
  • Assist Property Manager with student billing process
  • Assist Property Manager with showing of apartments to potential tenants
  • Perform other related duties incidental to the work described herein
  • Serve on RA Selection Committee
  • Assist in coordinating the RA Selection Process and RA Training Programs (Fall, Spring, & Winter)

Supervision Received

Primary direction is received from the Associate Director for Residential Life. Secondary direction will be received from the Assistant Directors for Residential Life.

Supervision Exercised

Supervision is exercised over (up to) two student employees.


Requires strong organizational skills, high attention to detail, and verbal and written communication skills. Ability to manage and prioritize multiple tasks and projects. Ability to learn standard desktop software, web design, financial transaction processing, and filing. The ideal candidate will be able to work independently and as a team and continuously look for ways to improve processes. PeopleSoft, FileMaker Pro database, and Excel management experience is preferred.


Two to three years' secretarial experience. Strong communication, organizational, and interpersonal skills. Typing speed of 50-60 wpm. Thorough knowledge of Macintosh computer and IBM Mainframe preferred.
