2012 ACJU Conference: Behind the Scenes

Last month, BC hosted the AJCU CITM and Library Deans Conference. While the conference, itself, began with events on Sunday, March 4, and ended after lunch on Wednesday, March 7, planning for the event began about a year earlier.

The seeds from the 2012 conference were planted at the 2011 event at Santa Clara University. In addition to paying attention to the details and planning of that conference, event organizers from BC sent a survey sent to last year’s conference participants and reviewed the results.

While the core of the conference were the presentations and discussions that were facilitated by field experts from across many Jesuit universities, BC, as the host school, also had to coordinate all the logistics to assure the conference went smoothly.

The planning team included members of BC ITS, Libraries, and contributors from other schools. Starting in the spring of 2011, they rolled up their sleeves and organized every aspect of the conference, including:

  • Transportation between the hotel and BC and to various tours of BC.
  • Researching and recommending a hotel for accommodations and some conference events.
  • Feeding the 120 participants breakfast, lunch, and (sometimes) dinner.
  • Writing, editing, and disbursing all communications (paper and electronic) and signage.
  • Securing sponsorships and vendor participation.
  • Coordinating and briefing BC staff who volunteered to help at the event.

The event was a rousing success. Just a few of the comments we received from participants are listed on the right.

Thanks to all those at BC and beyond who helped make the 2012 conference a success, and here’s looking to 2013 at Loyola University Chicago.
