As others schedule meetings with you, you may receive meeting requests in your Inbox. Likewise, your meeting request invitations appear in the Inbox of each of the people you’ve invited to a meeting.
You can open the meeting requests as you would open any other e-mail message. As soon as a meeting request is opened, it is automatically added to your calendar grid as an unconfirmed meeting. You have the option of accepting, declining, or submitting a tentative response. If you accept the meeting request, the meeting is marked as Busy in your calendar. If you decline the meeting request, the meeting is removed from your calendar.
Meeting responses from attendees are delivered to the meeting organizer’s Inbox and are also marked on the Tracking page in the Oracle Calendar Appointment window.
To respond to a meeting request from within the e-mail invitation:
- Open the e-mail message invitation in your Inbox.
- Click on one of the Meeting request buttons (see Figure 1) in the e-mail header.

- Decline – Decline the meeting request.
- Propose New Time – Suggest a new time for the meeting.
- Accept – Accept the meeting request.
- In each case, Outlook 2003 prompts you to modify your response, send your response immediately, or send no response (see Figure 2).

- Edit the response before sending – To add some notes or other information, such as to propose a new meeting location, before the response is sent to the meeting organizer.
- Send response now – To send your response immediately to the meeting organizer via e-mail notification.
- Do not send a response – To not send a response via e-mail notification to the meeting organizer.

- After you have selected your response, click OK.
To respond to a meeting request from within the calendar:
- In Calendar, double-click the meeting in the Calendar Grid to open the Oracle Calendar Appointment window.
- Click on one of the Meeting request buttons (see Figure 3) in the Standard toolbar.
