Position Overview

The Pastoral Assistant works closely with the National Director of Family Theater Productions (Head of Pastoral Outreach) to plan, coordinate, execute and follow-up on all activities related to the pastoral mission of Family Theater Productions and community relations activities with civic, industry and Church.

Essential Job Functions

·         Represent the mission of Family Theater Productions, Holy Cross Family Ministries and the Roman Catholic Church in all office conduct and public functions.

·         Participate as a positive support role of the Pastoral Outreach team at Family Theater collaborating, communicating and coordinating with the Production Team. 

·         Assist the National Director with administrative and planning with regard to community relations, pastoral outreach and developments functions.

·         Assist with scheduling, planning, executing, follow-up, evaluation and development of all Pastoral Outreach events: masses, rosaries, holy hours, Prayer and Pasta, Bible Study, Hollywood RCIA and all special events.  Helping set-up and take down events.  Coordinating the calendaring efforts with the Head of Production (HOP).

·         Ensure pastoral events are entered in the FTP/HCFM Calendar and coordinate the use of facilities with the Office Manager.

·         Ensure for gathering video and still images at Outreach events for use in Social Media, Internet and Archives.

·         Coordinate, orient and supervise volunteers, pastoral interns and Office Production Assistants (in coordination with the Office Manager) for FTP Outreach events.

·         Assisting with the planning of events, contracting event vendors, booking speaker, arranging for video or photography needs, preparing materials and technology to be used in the event, communicating invitations and notices through proper channels.

·         Offer Hospitality to visitors.  The Pastoral Associate will give FTP tours and coordinate any necessary logistics for guests.  The person will prepare visitor materials and gifts for guests.

·         Assist with outreach functions and communication, helping the National Director build and maintain ministry and industry relationships (e.g. maintaining contact information and data, helping observe special times (e.g. birthdays, anniversaries, times of struggle).

·         Other tasks associated with Pastoral Outreach and Community Relations as requested by the National Director of Family Theater Productions.

·         Office conduct that is professional and reflective of the mission of Holy Cross Family ministries.

Non-essential Job Functions

·         Occasional contribution to the Internet and Social Media ministry of FTP or HCFM.

·         Review, proof and post documents for the National Director on the Internet.

·         Serve on and consult with committees at FTP or from other parts of HCFM.

Requirements

·         Knowledge, appreciation of and ability to work professionally in and publically represent and promote the mission of Family Theater Productions, Holy Cross Family Ministries, The Congregation of Holy Cross and The Roman Catholic Church.   

·         Willingness to abide by all the requirements in the Holy Cross Family Ministries Employee Handbook.

·         Knowledge and familiarity with Roman Catholic worship and public prayer, including Rosary, Eucharist, Adoration of the Blessed Sacrament and so forth.

·         Proficiency in written and verbal English, Bilingual (Spanish) preferred but not required.

·         M.Div. Preferred, minimum B.A. in Theology or Religious Studies with a focus on Catholic Pastoral Ministry, Spirituality or a related field.

·         Proficiency in written and spoken English, bi-lingual (Spanish) preferred.

·         Valid California Drivers License and a car.

·         Experience in pastoral ministry, adult learning, planning prayer and worship.

·         Highly organized and able to articulate what time and task management system the candidate uses or would use.

·         Positive, welcoming presence for a media and ministry setting.

·         Responsible and efficient in using technology to mange and schedule pastoral events and activities.

·         Excellent time management skills.

·         Proficiency on Word, Outlook, Excel, Photoshop and SharePoint.

·         Excellent written, spoken and digital communication skills.

·         Detailed attention to maintaining office appearance and smooth operation.

·         Ability to learn and use Internet and Social Media tools for ministry.

·         Ability to orient and coordinate volunteers and interns.

·         Office conduct that is professional and reflective of the mission of Holy Cross Family ministries.

Other Skills/Abilities

·         Comfort with public interaction, including hosting and public speaking.

·         Event planning skills.

·         Basic DSLR photography skills.
