The Office of Marketing Communications has developed a generic specifications form for print publication projects that can be downloaded by clicking on the link to the right. The Project Specifications Form is an interface between the print purchaser and the vendor. It serves as a checklist of information necessary for determining a project's cost and, later, upon the job's release to the selected vendor, as written confirmation of the following:
- Delivery date and location
- Size
- Quantity of stock
- Color of artwork to be scanned and placed
- Bindery instructions (binding method, number and type of folds, perforations required)
In the case of bids expected to fall over $5,000, the completed form should
be submitted electronically to the Purchasing Office, where it is reviewed and
disseminated to those prequalified vendors appropriate to the project's specifications
and requirements.
For bids under $5,000, the form should be forwarded to three to
five vendors to obtain competitive bids for review and selection.
