My Groups

My Groups displays the personal groups that you create, groups that others share with you, and groups that are automatically generated for you such as "Courses I'm Taking." Access your Groups to compose emails to entire Groups. You can also add selected email addresses from your Groups to your Cart to use in creating new Groups or composing messages.

Types of Groups Available

The My Groups page includes email address Groups in the following categories:

  • Courses I'm Taking
    Under "Courses I'm Taking" you will see a group for each class in which you are currently enrolled. Each group links to the email addresses of all the students and faculty associated with the course. Updates to the entries are automatically made overnight by the system to reflect any enrollment changes to your courses. A course group will appear under "Courses I'm Taking" the day after you register for a class and will expire 30 days after the term ends. If you withdraw from a class, the course group will be removed the next day.
  • Courses I'm Teaching
    Under "Courses I'm Teaching" you will see a group for each class that you are instructing. Each group links to the email addresses of all the students in your class. Updates to the entries are automatically made overnight by the system to reflect any enrollment changes to your courses. A course group will appear under "Courses I'm Teaching" when registration starts. Students will be added to your groups nightly as they register for classes. Your groups will expire 30 days after the term ends. For historical data related to the courses you teach, please use the Manage your Courses function in Agora Portal or the MC03 function in UIS.
  • My Advisees
    The "My Advisees" Group links to the Email addresses of all students for whom you are currently listed as advisor. "My Advisees" is automatically updated weekly by the system to reflect any changes in advisees assigned to you.
  • Created by (your name here)
    These are the personal groups that you create using the Create & Update form. They can only contain BC addresses. The name of each personal group is prefixed with your username. These are the only groups that you can update or share with other BC users. You are the only one who can update your personal groups, share them with others, or remove access to them from others.
  • Shared with (your name here)
    These are groups that other BC users share with you. The name of each shared group is prefixed with the username of the group's originator. It can only be changed by the person that created it. To be added or deleted from a group that is shared with you, you must contact the originator. For your records, you will receive an email receipt each time the owner of the group updates it.
  • UIS Word Processing Groups
    A select number of departments have the ability to create email distribution lists using UIS. These list will appear in Campus Groups. In UIS, the user can identify who to share the group with. These groups are automatically deleted from Campus Groups two weeks after they are created. Read the mass mailings guidelines before you send an email to a large number of people.

Using My Groups

To email an entire group:

Click the QuickMail or Desktop link next to the Group name.
Note: For "Classes I'm Taking," students must add email addresses to their cart, before they can compose a message to them.

  • Selecting the QuickMail link opens a compose window using QuickMail.
  • Selecting the Desktop link opens a compose window using the default email application on your computer. Find out more about configuring your default email application.

Note: Read the mass mailing guidelines before emailing a large number of people.

To email selected individuals:

  1. Click the group name to display a list of all the addresses in that group.
  2. For each person in the group, select the To, Cc, Bcc, or Don't Send field. When emailing a large group, we recommend using the Bcc: (Blind carbon copy) field so that the addresses do not appear in the compose window.
  3. Click Add to My Cart to send selected addresses to the email cart. You are now ready to send an email to the selected addresses in your cart. Learn more about working with your cart.

Note: In an effort to protect students' privacy and to discourage "spamming", you cannot create an email directly from any group listed under "Courses I'm Taking". To use Groups in the "Courses I'm Taking" category, you must click on the Group name to display a list of all addressees, add selected addressees to the Cart, and then either compose an email directly from the Cart or create a new list and save it as a new Group.
