Setting an Out of Office Message in Entourage Web Services

Entourage 2008 — Web Services edition is the only version of Entourage supported by ITS for use in the Exchange environment. However it is not recommended. ITS strongly recommends that Entourage users upgrade to Office 2011 and use Outlook for Macintosh.

Entourage 2008 currently comes installed on BCCR computers but it is NOT the Web Services Edition. You will need to upgrade. To learn about upgrading to the Web Services Edition, please contact your TC (Technology Consultant).

If you will be away from the office for a day or more with limited or no access to email, it is a good idea to set up an Out of Office Message, which notifies anyone who emails you when you are away from the office. In the old email system, you would set an Out of Office Message through WebMail. In BC’s new email environment, you set the Out of Office message through Entourage or Outlook Web Access. Exchange provides finer control over your Out of Office Message, allowing you to set your message up well in advance of your absence and specify separate replies for colleagues at BC and external senders.

To set up an Out of Office Message:

1. Go to Tools > Out of Office …  (see Figure 1).

2. Select Send Out of Office messages (see Figure 2).

3. Click the disclosure triangle in front of More options to expand the dialog box (see Figure 3).

4. Type your message in the Reply to Messages with: box then check the box in front of I am out of the office between: and specify the dates you will be away (see Figure 4).

5. If you would like a different reply sent to people outside BC, select Send replies outside my company to: and choose whether your want to reply to all external senders or just people in your Address Book. Type your reply in the Reply once to each sender outside my company with: box (see Figure 5).

6. Click OK.

You can set up your Out of Office message in advance of your being away. Entourage will automatically start sending messages on the Start date you specify.  When you return to the office, you do not need to disable the Out of Office Message — it automatically disables itself based on the end time you specify.

Some of the things you may want to consider including in your message are:

  • The dates you will be away from email
  • An alternate person who can be contacted during your absence
  • If you are willing to be contacted while you are away by people within your organization, you could include your cell or home number in your inside message.

To protect your privacy, it is a good idea not to divulge too much information in your Out of Office Message, especially in the reply that you send to individuals outside BC.
