Configuring General Resource Calendar Settings
(outlook web access)
Checking or changing resource settings is done by the resource owner using OWA (Outlook Web Access) Premium using Internet Explorer. Some options were set at the time of the resource's migration from CampusTime to Exchange.
NOTE: Only the owner of the resource can configure resource settings.
- Open Internet Explorer and go to owa.bc.edu.
This work cannot be done in FireFox or Safari or other non-Internet Explorer browser. - Log in with your BC username and password.
- In the upper right part of the screen, you will see your name. Click the down arrow next to your name. The Open Other Mailbox window will open (see Figure 1).
- In the Select mailbox box, enter the name of your resource (without spaces) and click Open. If you are not sure of the exact name, enter a few characters and click Open. A list will display which you can pick from and click Open.
- A second OWA window will open for the resource.
The first time you open the resource, you will need to verify the language and time zone first. - In the new OWA window, click the link for Options in the upper right corner (see Figure 2).

- The Options menu will display on the left side of the window. Click the link for Resource Settings (see Figure 3).

The resource settings screen will display. There are four Resource Setting sections:
- Resource Scheduling Options
- Resource Scheduling Permissions
- Resource Privacy Options
- Response Message
RESOURCE SCHEDULING OPTIONS (see Figure 4)
Below are explanations of some of the Resource Scheduling Options:Automatic Processing
Checking Automatically process meeting requests and cancellations allows all meeting requests and cancellations to be processed automatically, with no manual intervention required.
If this box is unchecked, all meeting requests and cancellations need to be approved by the owner of the resource from within the resource mailbox in OWA Premium.Disable Reminders
Uncheck this box if you would like to receive reminders about meetings scheduled in the resource.Maximum Number of Days
Adjust for the number of days in advance the resource can be scheduled.Allow Conflicts
Check to allow double-booking of the resource.Allow Recurring Meetings
Check to allow the resource to accept recurring meetings.

Below are explanations of some of the Resource Scheduling Permissions:These users can schedule automatically if the resource is available
By default, everyone on Exchange at Boston College can schedule the resource. If you want to define exactly who can schedule the resource, enter individual names separated by semi-colons.For requests requiring approval
For most resources, it is recommended to uncheck the first box under this option. By default, approval requests will still go to the resource owner if a resource is not auto-processing meeting requests.

Below are explanations of some of the Resource Privacy Options:Always remove the private flag on an accepted meeting
Leaving the default setting will always remove the private flag on an accepted meeting in the resource. Note: this does not allow the subject of the meeting to be visible to those who can view the resource’s schedule. Instead, the resource will show the name of the person who scheduled the meeting as the title of the meeting in the resource. We recommend UNCHECKING this option so that privacy for specific meetings is maintained.

If you would like to include additional text with meeting responses, such as the name of the resource owner/delegate/contact information, you may want to check this box.
