

ERM Database Documentation : Access Confirmations : E-Journals on
MetaPress
Overview:
Access to each e-journal needs to be confirmed before we add it to the
e-journal list, SFX, and Quest. Access confirmation is a sort of
"virtual" serials check-in.
Instructions:
- Search for the e-journal by title search in the ERM database.
(Note: The title search in ERM is a keyword search.
If the word contains an apostrophe, either omit the entire word from
the search or omit the apostrophe and all the letters that follow it.)
- Click on the appropriate title in the results list to display the
full record.
- Check the following data elements in the Bib Rec tab to
ensure that record you have retrieved matches the one on your list:
- Title
- ISSN
- E-ISSN (if available)
- Publisher
- Verify that additional fields in the Bib Rec tab are as
follows:
- Record Type is Content
- Interface is MetaPress
- Material Type is Journal
- If you make any changes to the Bib Rec tab, save the
changes by clicking on the Update Record button at the bottom
of the screen.
(Note: If the Resource Status field is blank,
then you will be unable to save the record. If the Resource Status
field is blank, then change it to Implementation in Process).
- Click on the Access Tab.
- Verify that the Implemented Authentication Method is IP
Address.
- The link in the Primary Access URL/URI field should
be an open url.
- In MetaPress, open urls begin with the text:
http://www.metapress.com/openurl .
- If there is no url in the Primary Access URL/URI field, or if
the url given is not an open url, then
- Open a new browser window
- Go to http://www.metapress.com
- Search for the journal
- Click on Linking Options
- Copy and paste the open url which uses the print
issn into the ERMdb Primary
Access URL/URI field.
- Click on the Update Record button if you have made
any changes in the Access tab.
- Confirm that we have been granted access to the contents of the
journal.
- Follow the link in the Primary Access URL/URI by
highlighting and copying the text, opening a new browser window, and
pasting the link into the address bar.
- In MetaPress, volumes/issues to which we have access are
highlighted in bold.
- If volumes/issues are highlighted in bold, we take a few
extra steps to ensure that our patrons won't encounter access problems.
- For the first and last issue for which we have access, click
on the issue to see the list of the articles in the issue.
- In both the first and last issues, click on the PDF link to
any article in the issue to verify that the article is in fact
available to us.
- For some earlier issues, only abstracts, not full text, may
be present on the site. If this is the case work your way back to find
the earliest issue with full text available.
- If access is achieved:
- Click on the Workflow tab:
- Select Confirmed from Access Status field
and record the date of the access confirmation.
- Create an ANSI holdings statement in Holdings
field for the full text issues to which we have access.
(If we have a current subscription to the
e-journal then the holdings statement should be open-ended. If our
subscription has been cancelled or the title has ceased, then a closed
holdings statement should be created.)
- If BC users cannot access all of the full text issues
that are online, check the Yes button for the Custom
Holdings Required? field.
(This step is important because if only
some of the issues are available, we will need to customize holdings in
Serials Solutions, SFX, etc.)
- Click on the Update Workflow button at the bottom
of the screen to save changes to the Workflow tab.
- If access is not achieved:
- Click on the Workflow tab
- select Claim Needed from Access Status field
and record the date,
- or, select Not Online Yet and record the date if the
journal is not yet available on MetaPress.
- Click on the Update Workflow button to save changes
to the Workflow tab.
