Serials Solutions MARC Records Enhancements – November 2003


 

What follows is a document from Serials Solutions describing enhancements to their MARC Record Service.  Boston College implemented the described enhancements when our November 2003 Serials Solutions update was loaded.

 

We implemented the enhancements exactly as described below, with one exception.  Our priority order for MARC records varies from the Serials Solutions recommended order. The priority order implemented for BC is as follows:

 

1.      CONSER PRINT records

2.      CONSER NEUTRAL records (these records do not explicitly state that they are for a specific record format, though they generally describe the print format)

3.      CONSER ONLINE records

4.      CONSER Microform records

5.      CONSER CD-ROM records

6.      Vendor-generated brief records (brief neutral records created using MARC records originally supplied by a vendor, such as Gale or Ebsco)

7.      Ulrich’s brief records (brief neutral records created by Serials Solutions using data from Ulrich’s)

8.      Serials Solutions brief “serial” records (brief neutral records created from Serials Solutions data or other alternate data sources)

9.      Serials Solutions brief “NON-serial” records (brief neutral records created from Serials Solutions data or other alternate data sources, describing brochures, supplements, etc.)

 

The choice to vary from the recommended priority order was made when we filled out our original Serials Solutions profile in January 2003.  To avoid a significant number of new and deleted records in our November 2003 delivery, I decided to stick with our original priority order.

Serials Solutions MARC Records Enhancements

 

Although Serials Solutions prefers to deliver a CONSER MARC record for every one of your electronic journal holdings, we are currently unable to reach a 100 percent delivery rate. This happens for one of three reasons:

 

  1. A CONSER record isn't available for the title. This typically happens because the title in question may not actually be a serial or it hasn't been cataloged yet. Consider for example the following titles from LexisNexis:
    1. Arkansas Constitution
    2. Armed Forces Newswire Service
    3. Iowa Attorney General Opinions
    4. LEXIS New Hampshire Revised Statutes Annotated

  2. A CONSER record is available, but because of the way the vendor reports the title we don't know which one to send. Consider the following title from Factiva:
    1. Network News (which one is it?)

  1. A CONSER record is available, but we haven't yet made the association between the title and the MARC record. We work on this task every day so each time we deliver records to you the set of new records should grow.

 

We now have two potential enhancements to your MARC records update service for you to consider that will increase the number of records you receive each time. You can choose to take advantage of both of these solutions, one or the other or neither.

 

Non-CONSER MARC Record Types

 

For the past couple of months we've been adding non-CONSER record types to our title authority database. These include machine-generated records created using data we received from Ulrich's for more than 3,500 titles and MARC records created by Gale for Gale databases. (We will also begin adding Serials Solutions brief records next month and are also searching out other alternate sources of MARC records.)

These records are treated just like our regular CONSER records by associating duplicate title/ISSN combinations in our holdings database with a single title authority attached to one or more of these new non-CONSER records. You can choose to receive all or just some of these records by providing us with a new list of priorities for our record types. (Note: you can now also choose Microform and CD-ROM as valid CONSER record types.)

 

In all cases, you should consider these record types as starting points for creating records that accurately describe the electronic journal you have access to, not the format that the record originally described, which in most cases is the print title.

 

Although you can choose not to receive a particular record type by leaving it blank, be aware that it could dramatically lower the number of records we deliver to you. We strongly recommend that you select to receive ALL types of CONSER records; not receiving some CONSER types will significantly lower the number of records we deliver.

 

This is the currently recommended priority order. You can change the order as you want.

 

1.   CONSER ONLINE records

9.      Serials Solutions brief “NON-serial” records (brief neutral records created from Serials Solutions data or other alternate data sources, describing brochures, supplements, etc.)

 

Based on the priority you set, the Serials Solutions MARC record generator will choose the highest priority record that is available for any single title. If an additional record type that you've ranked higher is later associated with that title, you will get a changed record with the new record type.

 

For example, if the only record available at the time we run your records one month is an Ulrich's record and that type appears in your priority list, that's the record you would get for that delivery (edited to your specifications). If we later add a CONSER neutral record to that title, we would send a changed record in your next update to overlay the existing Ulrich's record in your catalog (or a new record if you get new records each time).

 


Serials Solutions Parallel Brief Records

 

Although the above solution will get us closer to 100 percent delivery than if we relied on CONSER records only, it will not get us there immediately. That's why we're also offering you the opportunity to get a parallel set of Serials Solutions brief neutral records that are created outside the normal MARC generator process. These brief records are created brand new each time we run your records by identifying the holdings in your collection that didn't have a MARC record available to send to you and using the title/ISSN combination and holdings information we know about to generate a record.

 

There are some key differences to these records that you should be aware of before choosing to receive them:

 

1.      Although we generate a unique control number for each record so you can import them without overlaying existing records, we can't keep track of that number from delivery to delivery. That means you won't be able to overlay these records with anything we send in the future and you would have to delete them each time we send you a new batch.

2.      We try to aggregate holdings for duplicate titles into a single brief record, but the aggregation is based on the title/ISSN combinations matching exactly. You could potentially end up with mulitple brief records for the same title if the titles had even the slightest differences.

3.      Some of the holdings could match titles in our title authority database, but haven't yet been associated with the correct MARC record. In these cases you could end up with a CONSER MARC record for some of the holdings for any given title, and one or more brief records for the same title.

4.      The only information available for the journal will be: title, ISSN (if available), holdings dates, URL and provider name.

If you choose this option, we will match your current MARC record profile as much as possible within the limitations imposed by the amount of data we have to work with. For example, we can provide a 655 genre field with "Electronic Journals," but we can't provide a coporate authority name in the 710 field.
